Job Bank: Receptionist/Administrative Assistant

Stoel Rives LLP has an immediate opening for a Receptionist/Administrative Assistant based in our Anchorage office. This role is responsible for all receptionist duties and provides overflow administrative support to attorneys and staff in our Anchorage office. This position reports to the Office Coordinator.


1. Reception/Client Service

Answer incoming calls and transfer as needed; greet visitors; direct clients to the appropriate conference rooms; ensure client needs are address promptly; stock and set up conference rooms; coordinate conference room reservations; and coordinate catering for meetings and events.

2. Security/Safety Protocols

Observe all visitors, when necessary inform building security and office coordinator of any problems; execute emergency response procedures; lock and unlock doors on schedule; report minor facilities problems to appropriate firm and building personnel; coordinate office safety committee meeting and maintain safety resources; and issue access cards and keys as necessary.

3. General Office/Administrative Support

Maintain office directory; coordinate receipt and sending of all incoming and outgoing mail and deliveries; order supplies; enter and process data including attorney timesheets, approval forms, expenses, vendor invoices, firmwide contact database and distribution lists; and coordinate attorney travel arrangements as needed.

4. File and Records Maintenance

Photocopy, scan, fax, print and organize documents; maintain electronic and physical files; and create and assemble hard copy notebooks as needed.

5. Teamwork

Communicate and collaborate with team regarding workload and availability to assist; produce consistently accurate and high-quality work product; and contribute to improvements in efficiency and quality of work.

Other duties as assigned.

Technical Skills

Accurately type 40+ wpm
Intermediate proficiency in Microsoft Word
Beginner proficiency in Microsoft Office (PowerPoint, Excel and Outlook) Suite and Acrobat
Working knowledge of MacPac, iManage, Express Scribe, Chrome River, Carpe Diem, Intapp, Meeting Room Manager, Workshare Compare, Metadata Assistant, and InterAction is a plus

Physical/Mental Capabilities

Operate a telephone, personal computer, and all types of photocopy equipment and other necessary office equipment; read and comprehend handwritten and typed notes or instructions; type on a computer keyboard in a sitting or standing position for extended periods of time during a 7.5‑hour workday; learn and effectively use software applications; accurately record and deliver phone messages; and carry files, binders, and pouches of files short distances.


High school diploma or equivalent required. At least one year of experience providing administrative or reception support in an office setting. Law firm experience preferred.


This position is non-exempt, with a standard work schedule of 37.5 hours per week. The schedule for this position is 8:00 a.m. to 4:30 p.m., Monday through Friday. Overtime may be required on occasion and this position is eligible for overtime compensation.

Job Bank: Small Firm Administrator – Remote Position

Are you looking for a remote opportunity to use your extensive experience managing all aspects of a small law firm? We are a group of experienced legal administrators who support solo and small law firms in all areas of operations and start up. We need to add a legal operations specialist to our team. The position will be remote with some travel to meet with team and/or on-site client visits. We are looking for a commitment of at least 20 hours per week with some flexibility.

The primary functions of the position are:

• Coordinate law firm start-ups from soup to nuts or specific areas of operation for solo and mid-sized firms.
• Assess law firm operations in the areas of financial, IT, human resources, and operations.
• Implement changes in processes and procedures in law firms.
• Evaluate, recommend, and implement legal software.
• Manage law firm moves.
• Develop and document law firm procedures in all areas, e.g., client intake, on-boarding, billing.

The ideal person will have the following skills, experience, and abilities:

• 5+ years of overall management experience in a law firm with between 15 and 50 people demonstrating leadership skills in human resources, information technology, facilities, and financial management.
• Substantial project management experience.
• Experience with law firm billing and accounts payable.
• Experience reviewing and analyzing law firm finances including budgeting.
• Ability to exercise sound judgment, discretion and foster positive and professional working relationships.
• Ability to communicate concepts and information effectively and respectfully in writing and orally.
• Ability to develop trusted relationships with attorneys and law firm leaders.
• Strong change management skills.
• Ability to work in a collaborative environment.


• $60 to $70 per hour depending on experience.
