This position provides critical support for multiple attorneys, including typing, editing and formatting legal documents and correspondence, filing documents with various courts, both electronically and by messenger. Arranging for service of documents on opposing counsel, telephone communications with clients and business contacts, file maintenance, substantial data entry, and other tasks as assigned.

In this role, you will:

  • Type, proofread, format and edit correspondence, pleadings, discovery responses, and other legal documents, often with short deadlines
  • Handle daily entry of information and documents into electronic client-focused databases
  • Prepare spreadsheets analyzing client billing data
  • Open new client matters and initiate conflict checks
  • Maintain paper and electronic files
  • Draft correspondence and communicate with project team and client contacts
  • Schedule appointments, depositions, meetings; maintain calendars; set up conference calls
  • File pleadings in state and federal courts in many different venues, as well as in agency proceedings
  • Track and calendar internal and litigation deadlines
  • Answer, screen, and respond to phone calls
  • Open and route mail and email; attach files and documents
  • Enter billable time into time-keeping system

Join us if you have:

  • 4+ years’ experience as a litigation assistant, or similar experience
  • Strong skills in word processing and computer use: ability to type 65 wpm with high accuracy; proficiency in MS Office Products (Word, Outlook, Excel) and Adobe Acrobat or Nuance required; some knowledge of PowerPoint, time keeping programs, NetDocs, and SharePoint sites preferred; ability to perform internet research
  • Experience filing documents with state and federal courts, as well as with the EEOC portal preferred
  • Able to read and understand court rules, and to ensure compliance with assigned judge’s individual rules and practices
  • High attention to detail and sensitivity to confidential materials
  • Ability to work independently and anticipate needed tasks to complete projects
  • Ability and willingness to learn new electronic programs
  • Excellent grammar, proofreading and organizational skills
  • Strong communication skills, both verbal and written
  • High level of energy; able to work at a fast pace and to prioritize tasks
  • Ability to work in a team-oriented, service focused environment and to handle stressful situations in calm, composed manner
  • Ability to understand and follow work instructions with minimal supervision
  • Availability and willingness to work overtime as needed or requested
  • A high school diploma or GED certification

This position is responsible for answering incoming calls, greeting clients, receiving deliveries, assisting visitors, managing the front areas, working with attorneys and staff on a variety of administrative matters and other tasks as assigned.

In this role, you will:

  • Answer and dispatch incoming calls for office
  • Communicate via email with attorneys and staff to a variety of inquiries and requests for assistance

  • Escort visitors to scheduled offices and conference rooms and ensure their needs are met
  • Serve as “concierge” to visitors as appropriate
  • Receive mail and hand delivered materials, scan and deliver to attorneys and staff
  • Maintain on-line calendar for multiple conference rooms and using discretion when booking and prioritizing or coordinating room changes
  • Assist staff and attorneys with reserving conference/meeting rooms and visitor offices and assure rooms are properly serviced

  • Maintain a clean and organized appearance of the reception area, visitor offices and conference rooms ensuring that they are stocked and ready for use at all times
  • Assist AV team in setting up and facilitating video conferencing
  • Key in attorney time on a daily basis working with assistants to proof and close
  • Maintain petty cash
  • Assist with preparation of marketing materials
  • Assist Office Administrator with event planning


Join us if you have:

  • 3+ years’ experience as receptionist or administrative assistance in an office environment
  • High school graduate or GED equivalent
  • Ability to provide exceptional, mature customer service to DWT attorneys, staff, clients and other visitors
  • Ability to communicate in a courteous, effective and professional manner with clients, attorneys, staff, clients and other visitors
  • Experience using a multi-line phone system preferred
  • High degree of attention to detail and accuracy in recording names, phone numbers and messages
  • Excellent and accurate keyboarding skills
  • Ability to remain calm under pressure and maintain professional composure
  • Ability to work with minimum supervision, adapt quickly to change and effectively prioritize multiple tasks
  • Ability to work well in a team setting as well as independently

We are proud to announce that the Alaska Chapter of the ALA has received the 2017 Presidents’ Award of Excellence. This program is a performance guideline that the Alaska ALA Chapter has met in taking effective and collaborative action in support of ALA’s mission to promote and enhance the competence and professionalism of legal administrators and all members of the legal management team; to improve the quality of management in law firms and other legal service organizations; and to represent professional legal management and managers to the legal community and to the community at large. Our chapter will be receiving this recognition at the 2017 ALA Annual Conference in Denver in April.
